Managing compensation rounds

This is a tip message.

Compensation rounds are available under Workbench > Compensation Management > Compensation Rounds. Access to Workbench depends on your role within the platform. This feature is available for users with the Configuration, Compensation Admin, and Global Compensation Admin professional roles.

This is an note/information message.

To manage an existing comp round, you must be an owner of this round. Otherwise, you will be able to see the comp round in the list, but you won't be able to manage it. If you need to edit a comp round but you are not an owner, contact the owner of the round. You may only duplicate the comp round and then edit the duplicate.

Comp round statuses

There are six statuses for compensation rounds:

Draft – a status of the rounds that are still being configured and have not yet been published. This status is automatically assigned to a compensation round upon creation.
Ready – a status of the round that has been configured and published by the Compensation Admin. Published compensation rounds can still be edited. The round is not visible to managers/compensation managers in the Planner.
Pending draft – a secondary status granted to a Ready or In progress compensation round when the Compensation Admin begins editing it. This means that two versions of the compensation round exist: the first is published, and the second is being edited. Once the Compensation Admin publishes the updated round, the Pending draft status disappears.
In progress – a status that the compensation round obtains automatically when the start date of the round is reached.
Closed – a status that the compensation round obtains automatically when the end date of the round is reached.
Failed – a status indicating that the compensation round's publishing was unsuccessful.

Editing comp rounds

The system allows users to make changes to compensation rounds in the Draft, In progress, and Ready statuses.

Draft comp rounds

To edit a Draft comp round, proceed as follows:

In the list of compensation rounds, locate the round you want to edit.
To open it, use either of the following options:

Click the three-dot icon located at the far right of the corresponding row. When the contextual menu appears, select Edit, as shown below:

Click the name of the compensation round directly.

Both actions redirect you to the Edit comp round page, which opens at step 1: Round details, as illustrated in the following figure:

Follow the steps described in the Creating a compensation round article to change the comp round according to your needs.
Click Save & exit in the upper-right corner of the application window to save your changes. To discard them, click Cancel.

In-progress comp rounds

To edit an In progress comp round, you can either go through the full configuration wizard or navigate directly to a specific step from Round Management. See the Round Management portal section in this article for details.

Method 1: Full configuration wizard

In the list of compensation rounds, locate the round you want to edit.
To open it, use either of the following options:

Click the three-dot icon located at the far right of the corresponding row. When the contextual menu appears, select Round Management, as presented below:

Click the name of the compensation round directly.

You are redirected to the Overview tab.
Click the Create pending draft button located in the upper-right corner of the screen. If the round already has a pending draft, the button will read Edit pending draft instead. Either button redirects you to the Edit comp round page, which opens at step 1: Round details.
Follow the steps described in the Creating a compensation round article to change the comp round according to your needs.
Click Save & exit in the upper-right corner of the application window to save your changes. To discard them, click Cancel.

Method 2: Editing a specific step

In Round Management > Overview, locate the Configuration overview section and select the step you want to edit.

Click the Create pending draft or Edit pending draft button in the lower-right corner of the drawer. You are redirected to the Edit comp round page, opening at your chosen step.
Make the desired changes.
Click Save & exit in the upper-right corner of the application window to save your changes. To discard them, click Cancel.

Pending drafts in Compensation Management

You can also create and edit pending drafts for In progress and Ready compensation rounds directly from the round list. To do so, click the three-dot icon at the far right of the corresponding row in the list and select the relevant option from the contextual menu:

Create pending draft – available for rounds without an existing pending draft. This opens the round in edit mode and creates a draft.

Viewing comp rounds

You can view compensation rounds in the In progress and Closed statuses. To do so, proceed as follows:

In the list of compensation rounds, locate the round you want to view.
To open it, use either of the following options:

Click the three-dot icon located at the far right of the corresponding row. When the contextual menu appears, select Round Management.
Click the name of the compensation round directly.

You are redirected to the Overview tab.
Click any step in the Configuration overview section to view round step details in the drawer that opens on the right.

Duplicating comp rounds

To duplicate a compensation round, proceed as follows:

In the list of compensation rounds, locate the round you want to duplicate.
Click the three-dot icon located at the far right of the corresponding row. When the contextual menu appears, select Duplicate.
A new round will appear in the list with the name "Copy [name of the original round]."
A success dialog is displayed, confirming that the compensation round has been duplicated. You can click Open compensation round to navigate to the new round, or click Close to dismiss the dialog.

Deleting comp rounds

If you are the owner of a compensation round and the round is in the Draft or In progress status, you can delete it.

To do so, proceed as follows:

In the list of compensation rounds, locate the round you want to delete.
Click the three-dot icon located at the far right of the corresponding row. When the contextual menu appears, select Delete.
A confirmation dialog is displayed. For Draft rounds, click Delete to confirm. For In progress rounds, type the round code in the field and click Delete round to confirm. The compensation round is now removed from the system.

For In progress rounds, an alternative deletion method is available via Round Management:

In the list of compensation rounds, locate the In progress round you want to delete.
Click the three-dot icon located at the far right of the corresponding row. When the contextual menu appears, select Round Management.
You are redirected to the Overview tab.
Click the three-dot icon in the upper-right corner of the screen. Select Delete from the menu.
A confirmation dialog is displayed. Type the round code in the field and click Delete round to confirm. The compensation round is now removed from the system.

Round Management portal

The Round Management portal consists of three tabs: Overview, Statement generation, and Payroll data drop.

The Overview tab presents a set of tiles showing a compensation round's status and type, followed by the Configuration overview section. This section mirrors the steps of the compensation round configuration wizard, with each step opening a details drawer on the right.

Also on the right of the page, Last updates show five most recent changes made to the round, data models, and bonus plans. For example, when a data model is extended, this section logs the extension accordingly. To find out more about what has changed, click the three-dot icon located next to the relevant entry. Then, click More details, as illustrated in the following picture:

The Model details drawer is displayed, providing you with information about the model's name, description, status, author, and creation date. It also specifies newly added fields and entities, for instance:

In addition, Last updates offer a more comprehensive audit trail of compensation round activities, with full history available via the View all updates button. Click it to see the All updates drawer, with entries indicating users who performed the action, timestamps, as well as pagination for large histories, as shown below:

The Statement generation and Payroll data drop tabs each display a searchable list of rules, with rule names, tracking, generation or creation dates, owners, statuses, and available actions. The Statement generation tab is used to create and manage statement generation rules, while the Payroll data drop tab allows you to define and configure payroll data drop rules.
