Creating a goal type
The beqom application enables you, as an HR manager with the Goals professional role to create and manage goal types to be used in goal plans. A goal type is a template that will outline the purpose of future goals of this type, as well as the content of the goal form. As an HR manager responsible for the creation and management of goal-related objects, you are not expected to create the goals, only to manage the business structure required for workers and managers to use goals in the application.
Step 1 - Goal type details
To create a goal type in the beqom application, proceed as follows:
Click Create goal type button located in the top right corner of the section. The Create goal type form is opened in the first step: Create goal type.
-
Enter the admin information for the goal type:
Enter a name for your new goal type in the Name field.
Enter a description in the Description field. You can use this field to give additional information about the goal type, such as its purpose and intended use.
-
Select additional owners in the Owners section by entering their name in the search field and then selecting the person in the search results. Keep in mind that if you don't add additional owners, only you will be able to manage the goal tag library (edit and publish).
The information that you enter in this section will be visible only by users who have been granted the Goals professional role. Workers and managers using the goal type to create a goal will not see this information.
-
Define the public parameters of the goal type:
Select the workflow that you want to use in the Goal workflow drop-down list. There are two possible workflows: Individual or Organizational. Use the individual workflow to enable workers and managers to create goals using this type for themselves and their direct reports. To enable managers and HR managers to create goals at organizational unit scale, select Organizational. When this type is selected, organizational can be assigned to target populations; workers in these populations will see the goal in their goal plan summary, but the goal will be read-only.
Select in the Goal icon drop-down list the icon that you want to use for the goal (if any).
Enter a name for the goal type in the Name field. Make sure that you give the goal type a descriptive name that will help workers and managers identify the purpose of the goal at first glance.
Enter additional information related to the goal type in the Description field. You can for instance give information about the circumstances in which this goal type should be used.
If your company uses several languages and you want to translate the goal type, select the new language in the Translations drop-down list, and then enter the proper information in the Name and Description fields. Repeat this operation for all the languages that you want to support in your goal type.
Click Next in the progress widget, at the right side of the form, to move to the second step of the goal type creation process: Population.
Step 2 - Population
Once you have entered the basic information for the goal type, you need to define its target population; in other words, the managers and workers who will be able to use this goal type when creating a goal.
To define the target population of a goal type, proceed as follows:
-
In the Include section of Step 2, Population, of the goal type creation form, build a condition that will filter out the target group for the goal type:
If you want to include one or several organizational units, open the Organization drop-down list, and then check the boxes corresponding to all the units to be included. Click All organizational units to select all available organizational units at once.
If you want to include one or several specific locations, open the Location drop-down list, and then check the boxes corresponding to all the locations to be included. Click All locations to include all available locations at once.
If you want to include one or several specific roles, open the Role drop-down list, and then check the boxes corresponding to all the roles to be included. Click All roles to include all available roles at once.
Keep in mind that this method creates an restrictive (AND) condition, meaning that the more criteria you select in the drop down, the fewer workers will be included because only the workers meeting all criteria will be included.
Click Add on the right side of the row of drop-downs. A badge containing your selection is added below the row.
Repeat steps 1-2 to make another selection. If you add several selections, an inclusive (OR) condition is then applied between the selections, meaning that to be included, recipients must meet one of the selections.
If you want to include specific workers by name, type their name in the Individuals to include field and then click the name in the list of results. Workers added via this method will be included in the list of recipients regardless of whether they satisfy the criteria defined in step 3, if any.
If you want to explicitly exclude workers, roles, organizational units or locations, apply steps 1-4 in the Exclude section of the form.
Click Next in the progress widget, at the right side of the form, to move to the third step of the goal type creation process: Assignment.
Step 3 - Assignment
In step 3, Assignment, of the goal type creation form, you can define the assignment authorization parameters for the goal type; in other words the permissions that will be applied when workers and managers create goals of this type.
To define the assignment permissions for the goal type, proceed as follows:
-
Click the radio button corresponding to the permission option that you want to apply (you can only select one):
Managers and workers in the selected population can assign a goal to anyone: when this option is selected, all system users, regardless of their role, will be able to assign a goal to anyone.
Only managers in the selected population can assign goals: when this option is selected, only manager users will be able to create and assign goals of this type.
Users can only create this goal type for themselves: when this option is selected, workers who belong to the selected population will only be able to create this goal for themselves and not for any other user.
Depending on the option selected in step 1, select the corresponding child option. You can only select one. For more information, refer to Goal type assignment permissions.
Click Next in the progress widget, at the right side of the form, to move to the fourth step of the goal type creation process: Approval flow.
