Managing nudge notifications
Nudge notifications enable you to send system users email messages to encourage them to perform certain actions in the platform, unrelated to already existing reviews, goals, etc. Nudge notifications are a great way to get in touch with the users of the platform and call them to actions in a friendly and non-invasive manner
Creating a nudge notification
The creation of a nudge notification is done via a 2-step form in Workbench.
Step 1 - Nudge details
Click the Create nudge button located in the upper-right corner of the application. The nudge notification creation form is opened in step 1, Nudge details, of the nudge creation process.

Fill out the Template settings section:
Enter a name for the nudge in the Name field.
If required, select additional owners for the template in the Template owners field by entering the name of the people you want to set as owners of the nudge. You are the default owner. If you don't select additional owners, only you will be able to edit or delete the nudge.

In the Message notification list, select all the notification types you want to use for the nudge. The Notification bell type is selected by default and cannot be deselected.
Notification bell: the nudge message of your choice will be displayed when clicking the notification bell icon in the application header
Email text: an email notification will be sent to the selected recipients
Mobile push notification: a push notification will be displayed on the selected recipients mobile device
Type the text you want to display in the in-app notifications (notification bell) in the Notification bell text field.

If you have checked Email text at step 3, configure the email notification:
In the Email subject field, enter the text you want to use as the email notification subject line displayed in the recipients' mailbox.
In the Email body field, enter the text that you want to use as the nudge notification body text.
If you want to create a multilingual nudge notification, change the language in the Translations drop-down list, and then repeat steps 4-5 of this procedure to enter the nudge text for the selected language.
In the Redirection URL field, enter the URL of the place in the application where you want the recipients of the nudge to take action.
Click Next in the progress widget located at the right of the application screen. The nudge creation process is now moved to step 2.
Step 2 - Recipients
Step 2 of the nudge creation process consists in configuring the list of recipients who will receive the nudge among the workers in your company. To configure the list of recipients of a nudge notification, proceed as follows:
Make sure you are in step 2, Recipients, of the process. If that's not the case, click Next in the progress widget, located at the right side of the application screen.

Choose the method you want to use to define the list of recipients for the nudge in the Source list:
Build a population: use this method to create a list of recipients from scratch from within the beqom application. This is the default option. For more information about this method, refer to Building a population of recipients in the application.
Upload a list of recipients: use this method to use a list of workers from an external source as the list of recipients for the nudge. For more information about this method, refer to Uploading a list of recipients from an external source.
Set up the list of recipients according to your choice.
Click Send now to send the nudge notification immediately.
Building a population of recipients in the application
To build a population of recipients for a nudge notification from scratch in the application, proceed as follows:
Make sure you are in step 2, Recipients, of the nudge creation process. If that's not the case, click Next in the progress widget, located at the right side of the application screen.
Make sure that the Build a population option is selected in the Source list.

In the Include section, select the recipients that you want to include to the nudge:
If you want to include one or several organizational units, open the Organization drop-down list, and then check the boxes corresponding to all the units you want to include. Click All organizational units to select all available organizational units at once.
If you want to include one or several specific locations, open the Location drop-down list, and then check the boxes corresponding to all the locations you want to include. Click All locations to include all available locations at once.
If you want to include one or several specific roles, open the Role drop-down list, and then check the boxes corresponding to all the roles you want to include. Click All roles to include all available roles at once.
Keep in mind that this method creates an restrictive (AND) condition, meaning that the more criteria you select in the drop down, the fewer workers will be included because only the workers meeting all criteria will be included.
Click Add at the right side of the row of drop-downs. A badge containing your selection is added below the row.
Repeat steps 3-4 to make another selection. If you add several selections, an inclusive (OR) condition is then applied between the selections, meaning that to be included, recipients must meet one of the selections.
If you want to include specific workers by name, type their name in the Individuals to include field and then click the name in the list of results. Workers added via this method will be included in the list of recipients regardless of whether they satisfy the criteria defined in step 3, if any.
If you want to exclude specific workers by name, type their name in the Individuals to exclude field and then click the name in the list of results. Workers excluded via this method will be excluded from the list of recipients even if they satisfy the criteria defined in step 3, if any.
Uploading a list of recipients from an external source
To upload a list of workers to be used as the list of recipients for the nudge, proceed as follows:
Make sure you are in step 2, Recipients, of the nudge creation process. If that's not the case, click Next in the progress widget, located at the right side of the application screen.
Make sure that the Upload a list of recipients option is selected in the Source list.
Download the Excel template file provided by beqom for this specific method using the link. An Excel file with the name of the nudge is downloaded onto your local computer.
Edit the Excel file offline, making sure that you respect the structure of the provided template. Otherwise, the upload of the file back into the system will fail.
Upload the file back into the system either by clicking Upload and then selecting the local file, or by dropping the edited file into the gray dropbox.
Editing an existing nudge
Provided that the nudge has not been sent yet and that you are the owner of the nudge, you can edit its parameters and its recipients.
To edit a nudge, proceed as follows:
Locate the notification that you want to edit in the list of nudges available in the system.
Click the icon located in the far right of the box corresponding to the nudge. A contextual menu is displayed.
Click Edit in the menu. The nudge notification form is displayed in step 1.
Review the information in both steps according to the procedures described in Step 1 - Nudge details and Step 2 - Recipients.
Click Save in the upper-right corner of the application to save your changes to the nudge notification and send it later, or click Send now at the bottom of the progress widget in step 2.
Duplicating a nudge
You can duplicate any nudge available in the application, regardless of its status, provided that you are an owner of the nudge.
To do so, proceed as follows:
Locate the notification that you want to edit in the list of nudges available in the system.
Click the icon located in the far right of the box corresponding to the nudge. A contextual menu is displayed.
Click Duplicate in the menu. A success message is displayed and an identical nudge notification is created.
Click Open nudge in the message. The new nudge is opened at step 1, Nudge details, of the nudge creation process.
Change the name of the nudge. By default, the new nudge is given the name of the original nudge + Copy.
Modify the information in both steps according to the procedures described in Step 1 - Nudge details and Step 2 - Recipients.
Click Save in the upper-right corner of the application to save your changes to the nudge notification and send it later, or click Send now at the bottom of the progress widget in step 2.
Deleting a nudge
Provided that the nudge has not been sent yet and that you are an owner of the nudge, you can delete a nudge notification from the system.
To delete a nudge notification, proceed as follows:
Locate the notification that you want to edit in the list of nudges available in the system.
Click the icon located in the far right of the box corresponding to the nudge. A contextual menu is displayed.
Click Delete in the menu. A confirmation message is displayed.
Click Yes in the message. A success message is displayed at the top of the application screen and the nudge is deleted.
