Mapping configuration for pay information requests
Mapping configuration allows administrators to define and manage the relationships between worker populations, document templates, data snapshots, and communication rounds within Pay Transparency. Once configured, these mappings automatically restrict the options available to HRBPs during pay information request processing, which reduces manual effort and the risk of incorrect selections. Mapping configurations are especially useful in multi-country or multi-segment environments, where different populations require different document templates or are subject to different communication schedules.
As an administrator, you can create individual mappings, edit and deactivate existing ones, and use bulk actions to manage multiple mappings at once.
Overview
The Mapping configuration page looks as follows:

The main table displays all existing mapping configurations with the following columns:
Population: the worker population or populations the mapping applies to. A mapping can cover multiple populations simultaneously.
Template: the document template associated with this mapping.
Data source: the data snapshot used as the source for document generation.
Communication round: the communication round to which this mapping is linked.
Creator: the user who created the mapping, along with their role.
Usage: the type of pay information process this mapping supports.
Status: the current state of the mapping. Possible values are Draft, Ready, and Deactivated.
Each table row includes a three-dot icon. Clicking it opens a contextual menu with actions that depend on the mapping's current status. Go to Managing mapping configurations for more information.
In addition, the pagination tool below the table helps you browse across pages and set the number of items shown on each page.
Filtering the mapping list
You can narrow down the list of mappings on the page. When you click the Filters button above the table, the Select filters panel appears, offering the following filter options:
By document template in the Template field
By worker population in the Population field
By communication round in the Communication round field
By data snapshot in the Data source field
By usage type in the Usage type field (for example, Individual PIR)
By mapping status in the Status field (Draft, Deactivated, or Ready)

To set your filters, click a field and check the relevant boxes from the drop-down list. Alternatively, type in the field to search for a specific value. Then, click Apply to update the list. To reset all filter selections, click Clear filters.
Adding a mapping configuration
To add a new mapping configuration, click the Add mapping button in the upper-right corner of the page. The following mapping configuration form is opened, as illustrated in the following image:

Fill in the form fields:
Usage: Confirm or review the usage type. By default, the Use for individual pay information requests option is selected. Currently, this is the only available usage type.
Select template: Select the document template to associate with this mapping.
Select data source: Select the data snapshot that will be used as the data source for document generation.
Select population: Select one or more worker populations by checking the relevant boxes. A single mapping can cover multiple populations. When a worker belongs to one of the selected populations, this mapping becomes applicable to their pay information request.

Select communication round: Select the communication round to which this mapping applies.
You can either click any of these fields to choose your value from the drop-down list or start typing to search for a specific one.
Description: Provide additional context, such as the purpose of the mapping or the scenario it covers.
Once all required fields are filled in, click Save & exit in the upper-right corner of the form to save the mapping. The new mapping will be added to the list in the Draft status. You can also click Publish & exit to activate the mapping immediately.
Managing mapping configurations
Once a mapping has been created and saved, its status determines which actions are available and whether the mapping is applied during pay information request processing.
Mapping configurations move through three statuses:
Draft
As mentioned above, a mapping is created in the Draft status. In this state, it is visible in the configuration list but does not affect pay information request processing. From Draft, you can View, Edit or Delete the mapping using the three-dot menu. To make it active, open it for editing and click Publish & exit in the upper-right corner of the editing form. The mapping changes its status to Ready.
Ready
Ready mappings are active and applied when HRBPs process pay information requests. With the three-dot menu, you can View the mapping details, Edit it to update its configuration in the editing form, Deactivate it to temporarily suspend it, or Delete it. Selecting Deactivate moves the mapping to the Deactivated status, removing it from processing while keeping it visible in the list.
Deactivated
A Deactivated mapping can be restored at any time by selecting Activate from its three-dot menu, which returns it to the Ready status. You can also View, Edit, or DeleteDeactivated mappings.
Clicking View in each case opens the Mapping configuration drawer. The drawer contains two tabs. The Details tab displays the mapping’s current values: status, population, template, data source, communication round, owner, usage type, and description. The Audit trail tab provides a history of changes made to the mapping, including who made the change and when.

Importantly, you can manage multiple mappings at once. Select the mappings you want to update by checking boxes next to their names in the table. Then, use the bulk action bar that appears at the top of the table to Activate, Deactivate, or Delete all selected mappings in a single operation, as shown below:

Mapping configurations in pay information request processing
When an HRBP processes a pay information request within Planner > Pay Information, the system evaluates which active (i.e., Ready) mappings apply to the worker's population. The behavior is as follows:
If the worker's population matches one active mapping, the template, data source, and communication round defined in that mapping are pre-selected automatically. The HRBP does not need to make a selection.
If the worker's population matches more than one active mapping, the available options are filtered to show only values covered by those mappings. Because the filtering is cascading, selecting a template first narrows the list of available data sources and communication rounds to only those associated with mappings that include that template. This means the HRBP’s choice of template determines which data sources and communication rounds are valid.
If no active mapping matches the worker's population, all available options are displayed without filtering, and the HRBP makes a manual selection.
