Creating a goal plan
The Pay Suite application enables you, as an HR manager with the Goals professional role to create goal plans to centralize goals pertaining for instance to the same domain of application or organizational unit. As part of a goal plan, you will be able to add various goal types that you have previously created and put them under a single umbrella.
Step 1 - Goal plan details
To create a goal plan in the beqomPay Suite application, proceed as follows:
Click Create goal plan in the Goal plans tile of the Goals page in Workbench. The Create goal plan form is opened in the first step: Goal plan details.
-
Select the type of periodicity you want to apply to the goal plan in the Period section:
Select Recurring to give the goal plan a recurrence frequency. If you select this option, you will then need to select a start date for the plan and a recurrence (Year, Semester, Quarter or Month). With this configuration, new goal plans will be created for users at the selected frequency, from the original start date.
Select Fixed if you want goal plan to run once over a limited period. If you select this option, you will then need to select a start date and an end date for the goal plan.
Enter a name for the goal plan in the Name field.
If you previously selected Recurring option, choose the Start date and select Recurrence type from the drop down list. If previously you selected Fixed option, choose the Start date and End date.
Select additional owners in the Plan owners section by entering their name in the search field and then selecting the person in the search results. Keep in mind that if you don't add additional owners, only you will be able to manage the goal plan (edit and publish).
In the Plan transmission section you may tick the box called Send performance review PDF to Documents and then from the drop-down list select the communication round it will refer to.
Click Next in the progress widget to move to step 2 of the goal plan creation form: Population.
Step 2 - Population
Once you have entered the basic information for the goal plan, you need to define its target population; in other words, the managers and workers who will be able to select this goal plan when creating a goal.
To define the target population of a goal plan, proceed as follows:
-
In the Include section of Step 2, Population, of the goal plan creation form, build a condition that will filter out the target group for the goal plan:
If you want to include one or several organizational units, open the Organization drop-down list, and then check the boxes corresponding to all the units to be included. Click All organizational units to select all available organizational units at once.
If you want to include one or several specific locations, open the Location drop-down list, and then check the boxes corresponding to all the locations to be included. Click All locations to include all available locations at once.
If you want to include one or several specific roles, open the Role drop-down list, and then check the boxes corresponding to all the roles to be included. Click All roles to include all available roles at once.
Keep in mind that this method creates an restrictive (AND) condition, meaning that the more criteria you select in the drop down, the fewer workers will be included because only the workers meeting all criteria will be included.
Click Add at the right of the row of drop-downs. A badge containing your selection is added below the row.
Repeat steps 1-2 to make another selection. If you add several selections, an inclusive (OR) condition is then applied between the selections, meaning that to be included, recipients must meet one of the selections.
If you want to include specific workers by name, type their name in the Individuals workers field and then click the name in the list of results. Workers added via this method will be included in the list of recipients regardless of whether they satisfy the criteria defined in step 3, if any.
If you want to explicitly exclude workers, roles, organizational units or locations, apply steps 1-4 in the Exclude section of the form.
Click Next in the progress widget, at the right side of the form, to move to the third step of the goal type creation process: Goal types.
Step 3 - Goal types
Once you have defined the population for your goal plan, you need to add goal types to the plan. In step 3 of the goal plan creation process, you are presented with a table containing all the currently available goal types.
To add goal types to your goal plan, proceed as follows:
Locate among the available goal types the item that you want to add to the goal plan. Keep in mind that you may need to scroll down to find the goal type; the table displays the most recently created items at the top.
Change the state of the toggle in the Include column to enabled. A new input field is now available in the Goals per worker column.
Enter the number of goals of the selected type that workers can create in the context of this goal plan in the Goals per worker field. When workers have reached the defined number of goals, the goal type is then no longer available in the goal creation interface.
Repeat steps 1-3 for all the goals types that you want to add to the goal plan.
Click Create at the bottom-right corner of the progress widget, at the right side of the screen. The goal plan is now published and ready to be used by workers and managers.
