beqomPay Suite 13.0 - Feature release notes
This article details the latest improvements introduced in version 13.0 of the beqomPay Suite application, their benefits for our end-users and their principles of use.
Compensation
HRBP review stage in comp rounds
This version of the Pay Suite platform introduces a new workflow step to the compensation round: HRBP review. Occurring before the Compensation manager review workflow step, the HRBP review workflow step enables HRBPs to examine salary and bonus information of the workers to whom they have access in read-only mode before compensation manager make their suggestions as part of the comp round.
The HRBP review workflow step can be enabled/disabled in the Workflow step of the comp round configuration wizard like any other step of the comp round workflow, and its display name in the comp round can also be customized.
Just like for any other step, dates during which HRBPs will be able to access the comp round and review the data must be defined.
The following figure illustrates the configuration of the new workflow step in the comp round configuration wizard:
HRBP review step configuration
In the Planner, when the comp round is published and in progress, the new step will appear in the comp round chronology, in the Workflow tab of the grid view, as illustrated in the following figure:

Statement generation rules for compensation rounds
Users who have been granted the Compensation admin or the Configuration role can now create statement generation rules from active compensation rounds. Those rules, tightly linked to a communication round, will define how and for whom a compensation statement will be generated.
Accessible from compensation which are published (either in progress or closed) using the action menu, the statement generation rule builder enables Compensation admins/Configurators to:
Give a name and a description to the rule
Link the reference communication round
Select the document template to be used for the statement
Define the file name format
Specify the distribution rule using criteria and values that excludes/include workers
When documents are generated via a communication round, the status is then reflected in the grid and the documents can be viewed from the Planner interface.

Payout curve configuration wizard improvement
The payout curve configuration wizard was improved in this version to offer compensation admins a better, more intuitive experience when creating a configuring payout curves in the beqom platform. The redesigned Payout curve settings page offers additional visual elements to help users define performance-based payout rules aligned with their company's compensation strategy, namely:
Curve type selection: the selection of the curve type is now performed using visual card that indicate at-a-glance the type of curve that is being selected (Linear curve or Step curve).
Direction selection: it is now possible to select a growing or falling direction for the payout curve, which will then influence the validation rules (i.e. increasing or decreasing values).
Rules & guidelines: a dedicated section in the page offers direction-specific rules based on the curve direction they have chosen.
Result units: a drop-down list enables users to select the type of unit they want to use for the result of the payout curve.
Threshold input: compensation managers can enter start and end results, as well as start and end payout values corresponding to the curve direction they selected.
Payout curve preview: a preview of the curve is automatically generated once all the required fields have been filled in (with the result represented on the X-axis and the payout represented on the Y-axis) and are updated in real-time as changes are made to the threshold values.
The following figure illustrates the new options available in the Payout curve settings page of the configuration wizard:
Payout curve settings improvements
Additional improvements to payout curves:
The maximum limit of 120% that was previously applied on payout curve was removed; payout curves are no longer capped.
A view mode is now available for payout curves that are in Ready or Deactivated status. Accessible from the contextual menu displayed when clicking the three dots at the far right of a row in the payout curve table (Workbench > Compensation > Payout Curves), the view modes enables users to see all the settings configured in the curve, without any edition capabilities.
Salary & bonus drawer view in Planner
A new drawer in which individual worker salary and bonus information is displayed is now available for managers in the Planner. Accessible via the comp round by clicking on the name of an individual worker in the compensation grid, this drawer opens on the right side of the application window, on top of the compensation grid, and displays ample information about the worker, such as their compensation history, their current salary information, their bonus eligibility, an overview of their situation, an overview of their goals, as well as the calculation rule for their goal achievement and their bonus.
With the expanded view on the worker's compensation and performance information offered by the worker information drawer, compensation managers now have all the data they need in a single place to make informed decisions during the comp round.
The following figure illustrates the drawer in the bonus view:

Additional comp round security
In this release, the security of the Planner, and specifically, the list of comp rounds within the Compensation section of the Planner was improved. Where previously, managers/compensation managers could see all rounds that were published or in progress, now they will see only the comp rounds that are assigned to them, i.e. the comp rounds in which they have direct or indirect reports.
This improvement not only brings clarity to the managers/comp managers regarding the actions they need to perform in the application, but also brings organization an additional layer of confidentiality when it comes to handling their comp processes.
Change of worker currency reflected in comp round audit trail
The Planner now checks worker currency each time a compensation round is republished. If the current currency differs from the one used in the original salary or bonus proposal, the system removes that figure from both Planner and the individual view and adds one audit-trail line with the element name and a Republished round tag. If the currency matches, the proposal and audit trail remain unchanged. This enhancement touches only the salary and bonus compensation elements.
Performance management
"Goal setting" reviews & streamlined review management
This release introduces a new Goal setting review type, designed to facilitate a structured discussion and agreement on employee goals between workers and managers. Alongside this, we're empowering administrators with new tools to efficiently manage and finalize review cycles.
These improvements introduce structured goal alignment that provides a dedicated process for managers and workers to collaboratively define and agree upon yearly goals, ensuring clarity and mutual understanding, while also delivering enhanced administrative control through new tools in the HR Portal that allow administrators to efficiently manage review stages, especially for bulk closing operations.
New "Goal Setting" review type
The new Goal setting review feature establishes a clear, agreed-upon set of goals between worker and manager, with a frozen record of that agreement at a defined period.
Manager and worker can collaboratively discuss and update goals within the Goal setting review, before the manager approves the goals by submitting the review, which automatically freezes the goals for historical purposes while still allowing continued editing in the worker's main Goals section without altering the frozen record.
When creating Goal setting review templates, administrators can select Goal setting as a specific review type and configure the recommended workflow by optionally turning off the Worker self-assessment step for manager-led processes while ensuring the moderation stage remains enabled to maintain the intended approval workflow.
Move reviews to "Closed (System)" stage
This enhancement provides administrators with a powerful tool to finalize and close multiple reviews simultaneously, streamlining end-of-cycle processes.
Users with access to manage review templates in Workbench > Performance Management > Performance Management Templates can now filter for reviews that are in the Moderation stage and use the new Move to Closed (system) stage action for selected reviews in the list. The streamlined closing process allows administrators to select multiple reviews from the filtered list and initiate the bulk action, with a confirmation pop-up displayed to confirm the bulk move, followed by a success message indicating how many reviews were successfully moved.
Once a review reaches the Closed (system) status, it becomes finalized and is no longer editable by either the manager or the worker, though both parties can still view the content and download it as a PDF for their records.
This update delivers significant user impact by providing managers and workers with a clearer, more structured process for annual goal setting with a definitive point of agreement, while giving administrators enhanced control and efficiency in managing and finalizing review cycles, especially for Goal setting reviews.
Career development plan template duplication
This release introduces the highly anticipated ability to duplicate existing career development plan templates. This new feature significantly streamlines the process of creating new templates by quickly cloning an existing one and then making necessary adjustments, saving valuable time and effort.
This improvement delivers increased efficiency by allowing users to quickly create new templates based on existing structures, eliminating the need to build from scratch, while ensuring consistency across similar career discussion processes by starting from pre-configured templates. It also reduces the effort required from template creators, saving time and resources, and allowing them to focus on customization rather than initial setup.
Template owners, HRBPs, configurators, and support users can now duplicate career development plan templates in Draft or In progress statuses, with the duplication process intelligently copying most template settings and contents, while ensuring key administrative fields such as owners, dates, and population are reset for the new template.
The duplication option is available from templates is accessible via the three dots icon at the right of the template in the career development plan template list. The duplication process copies:
Template name (defaulting to "[Original Name] + Copy")
Template description
Workflow settings including the Refuse setting
Career plan questionnaire with questions and mandatory options
Skills widget settings
Goal settings
Check-in widget settings
Career chat settings
-
Behavior wheel settings
Resources (links, etc.)
However, owners, dates, plan transmission settings, and population are reset for the new template and the duplicating user is made the sole primary owner.
Enriched goal data in reviews and PDFs
This release significantly enhances the visibility and completeness of goal information within review forms and generated PDFs. Now, when goal data is frozen, it will include goal tags and goal alignment, providing a more holistic and accurate snapshot of an employee's objectives and their strategic connections.
Goal tags and goal alignment details are now included in the frozen goal data within review forms and are also added to the generated review PDFs, ensuring a more comprehensive and context-rich view of goals.
This enhancement ensures that users viewing a review with frozen goal data will now see a more complete context for each goal, including its tags and alignment, while generated PDFs will serve as a more robust and informative record containing all critical goal details. This improvement ensures that the captured snapshot of goals is richer and more insightful for performance discussions and historical tracking, providing workers and managers with comprehensive goal information that maintains full context even after the goal-setting period has concluded.

Enhanced static document import capabilities
Following the initial release of the static document import for all employees in release 1.11, release 13.0 now brings two powerful enhancements that significantly increase flexibility and control when distributing documents within a communication round:
Population-based static document import
Worker-based document import for exceptions
Population-based static document import
It is now possible to upload and assign static documents to a specific population within your organization based on attributes such as language, location, bonus eligibility, or other criteria.
This enhancement enables organizations to tailor messaging and content to meet the needs of specific worker groups, ensure policy and regulatory compliance across different regions or worker segments, and simplify localization efforts with targeted document delivery.
The following figure illustrates the import of a static document for a population:
Document upload for a population
Worker-based document import for exceptions
In addition to group-based distribution, it is now possible to assign individual static documents to specific workers to handle exceptions or unique communication needs.
This solution addresses edge cases and special scenarios without disrupting population-wide distribution, and enables organization to deliver personalized content where necessary (such as custom compensation letters, contract addenda, etc.), while maintaining full audit capabilities and integration with the communication round’s release workflow.
Document import for an individual worker
Templates for document generation
A new feature that simplifies and enhances the process of generating personalized PDF documents using configurable Word templates is being introduced in version 13.0. This release enables Compensation administrators to streamline document production at scale while maintaining accuracy and consistency.
This powerful new feature streamlines your document creation process. With Document Templates, you can now create reusable templates by uploading Word (.docx) files and dynamically inserting merge variables that automatically populate with your system data. The feature includes built-in preview and validation capabilities to ensure your templates are perfect before publishing, enabling seamless document generation at scale. Once published, you can easily access the complete history of all .docx files associated with each template, giving you full visibility into your document workflow.
This new functionality is available in the Document Templates section under Workbench > Pay Transparency, ready to help you create consistent, professional documents with just a few clicks.

Exchange rate type user interface
With release 13.0, we are releasing a brand new feature with a new user interface within the Workbench module in the Pay Suite platform: exchange rate types.
Accessible under Workbench > Data Management > Exchange Rate Types, this new user interface enables users with the Data foundation admin or the Global compensation admin role to create and manage exchange rate types that can be later used together with exchange rates.
When creating an exchange rate type, the user has the possibility to define a name, a code and a description for the exchange rate.
Once items are created, the list of exchange rate types that is displayed when opening the page in Workbench > Data Management > Exchange Rate Types contains various information regarding the existing exchange rate types, such as:
Name
Code
A flag indicating whether the item is in use or not
Creation date
Update date
Description
Three dots icon that gives access to a contextual menu where the user can edit or delete an item.
In addition to this information, the page also contains a summary card with the number of items, a search field that scopes item name and description, a filter on the exchange rate type usage status and a pagination tool.
